Who we are

Chem Cell Club, Inc. operates an event venue at 2951 Riverside Dr, Fernandina Beach, FL 32034, and this website. If you have a question about this policy or about information we hold, write to [email protected] or call (904) 261-4984.

Information we collect

We collect only what we need to rent you the hall:

• Booking information — your name, email address, phone number, mailing address, event date, event type and estimated guest count.
• Agreement and waiver records — the version of the rental agreement you signed, your typed name, your drawn signature image, the date and time of signing, and the browser and device information sent with that request. We keep these because they are the record of a signed contract.
• Payment information — card payments are processed by Stripe. We receive a confirmation, the amount, and the last four digits and card brand. We never receive or store your full card number.
• Vendor applications — business details, contact information and the credentials you tell us about.
• Messages — anything you send us through the contact form or by email.
• Basic site analytics — pages viewed and general location, collected in aggregate.

How we use it

To confirm and manage your booking; to take the deposit and rental payment and to return the deposit; to keep the signed agreement on file; to contact you about your event; to answer your questions; to assess vendor applications; and to keep the site working and reasonably secure. We do not sell your information, and we do not use it for advertising.

Cookies and analytics

The site uses only what it needs to function. The fonts are served from this site rather than from Google, so loading a page does not tell any third party you were here. We use Google Analytics 4 to understand how people find and use the site — which pages they read, which searches brought them here, and how many bookings the site produces. Google Analytics sets cookies in your browser and processes the data on Google’s systems; your IP address is anonymized before it is stored. We do not use it for advertising and we do not link it to your booking record. You can opt out for every site you visit with Google’s browser add-on, or with your browser’s own tracking protection. Stripe sets cookies on its own checkout pages to detect fraud, governed by Stripe’s privacy policy.

Sharing

We share information only with the service providers that make the site run — our payment processor (Stripe), our website host (Cloudflare) and our email provider — and only as much as each needs. We may disclose information where the law requires it, or where it is necessary to establish or defend a legal claim, including enforcing the rental agreement. If you ask us to introduce you to a preferred vendor, we share only what you tell us to.

How long we keep it

Signed agreements, waivers and payment records are kept for [X] years after the event, because they may be needed for insurance or legal purposes. Contact-form messages and unsuccessful vendor applications are kept for [X] months. Marketing emails, if you sign up for any, stop the moment you unsubscribe.

Your choices

You may ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it, subject to the retention periods above. Email [email protected]. Every marketing email we send has an unsubscribe link, and unsubscribing does not affect emails about a booking you have made.

Security and children

The site is served over HTTPS and payment card data never touches our systems. No method of storage is perfectly secure, and we cannot guarantee absolute security. This site is meant for adults; we do not knowingly collect information from anyone under 13, and if we learn that we have, we delete it.

Changes

If we change this policy we will post the revised version here and update the date at the top. Material changes affecting an active booking will also be emailed to you.
